GROUND YOUR AGENT IN A SHAREPOINT LIST: AGENT BUILDER’S NEWEST KNOWLEDGE SOURCE

Loving SharePoint Again.

If you’ve built (or thought about building) a Copilot agent, you’ve probably hit the same question we all do: how do I get it to actually answer from my data? Good news — Microsoft just made that a whole lot easier.

Let’s Break down how Agent Builder’s capability lets you ground an agent directly in a SharePoint list, allowing anyone to simply ask instead of scrolling through endless rows and content.

So… What Changed?

Agent Builder in Microsoft 365 Copilot now supports using a SharePoint list as a knowledge source. That means the structured data you already keep in lists — think resource catalogs, FAQ tables, equipment inventories, contact directories — can power an agent’s answers.

Each agent can reference one SharePoint list with up to 20,000 items, alongside your other knowledge sources (files, sites, and more).

Why Is This a Big Deal?

Files are great for documents. But a lot of the most-asked questions live in lists — tidy, structured rows and columns. Until now, Agent Builder couldn’t use SharePoint lists as a dedicated knowledge source. This closes that gap with no custom integration and no code.

How to Set It Up

Step 1: Open Agent Builder and create or edit an agent.

Step 2: Under knowledge sources, choose SharePoint list.

Step 3: Select the list you want (up to 20,000 items) and save.

That’s it — your agent can now use that list as a grounding source when answering user questions.

Why This Matters for Education

Schools and campuses run on lists. A device loaner inventory, a club-and-activity directory, a course-catalog table, a staff extension list — all perfect candidates.

Imagine a student services agent grounded in an enrollment-steps list, or a help-desk agent that answers from your IT asset list. Instead of hunting through a library, staff and students just ask a question and get a straight answer — pulled live from data your team already maintains.

A Note on Data and Privacy

This follows the same Microsoft 365 Copilot security model as everything else: agents only surface content a user already has permission to see. No oversharing. For the details, Microsoft’s Data, Privacy, and Security for Microsoft 365 Copilot is the place to go.

Ready to Get Started?

If you’ve got a SharePoint list doing quiet, heroic work behind the scenes, this is your sign to put an agent in front of it. Pro Tip: Keep your list tidy — clear column names and consistent values make for sharper, more accurate answers.
